Team Administration Assistant - Balmain | 6 Month Contract

Adrian Oddi Real Estate, Balmain is looking for a proactive Team Administration Assistant to support a team of three, including the Director and two sales agents for a 6 month maternity leave contract.

Role Purpose

As Team Administration Assistant you will be valued as someone who is the backbone of the team. Playing a critical part in providing an extraordinary standard of excellence and accuracy, this will be consistent across all transactional administration.

You will seamlessly work towards a high level of detail, checking and triple checking, offering an extensive and comprehensive quality of work during all stages of the sales and settlement process.

Supporting the team, you will be process driven with an analytical mind; be accountable, resilient, personable, friendly and hold customer care at the forefront of what you do; building strong relationships to support the overall performance of Adrian Oddi Real Estate Pty Ltd and the team.

Key Responsibilities month

  • Manage all day-to-day administrative responsibilities to support the Adrian Oddi Real Estate Pty Ltd business
  • Manage administration, preparation, and co-ordination of all properties listed for sale throughout the entire process
  • Support with diary management; book all appointments and send calendar invites to owners from 2nd contact
  • Support management of Agent Database and Stock Sheets
  • Preparing the Agents for listing and appraisal presentations
  • Sign up new listings and follow appropriate check list and templates to ascertain all relevant information
  • Organise and prepare the Sales Agents for open houses & auctions
  • Liaise with solicitors, suppliers and third parties as required
  • Manage the exchange to settlement period between vendor, buyers & solicitors including submitting invoices

What we are looking for

  • Extensive administrative and organisation skills with an ability to multiple-task, work under pressure and meet deadlines
  • Highly process orientated with an ability to connect positively, providing a warm experience to all encounters
  • Flawless communication and customer service skills with a “the customer is always right” mentality
  • Excellent written and verbal acumen with strong attention to detail
  • Resourcefulness; making the impossible possible and just getting the job done with ease
  • Proactive self-starter with an accountability to work independently and collaboratively to support the team
  • Sound judgement in critical moments
  • Adaptable and resilient with the ability to use your initiative
  • Strong work ethic with an ability to take feedback on board
  • Proficient in Microsoft Office and database management
  • A current Real Estate Certificate and a clean driver’s license, access to a car is essential
  • Previous administrative or Personal Assistant experience is required
  • Full working right in Australia
