Sales Team Assistant - Inner West
Purpose
This is an opportunity to join a leading property lifestyle group who pride ourselves on the client experience.
You will be valued as someone who is the backbone of the team, directly supporting the Agent and a team of two from an administrative perspective. A critical part of the role is to provide an extraordinary standard of excellence and accuracy consistently across all transactional administration.
You will consistently work towards a high level of detail, checking and triple checking, offering an extensive and comprehensive quality of work during all stages of the sales and settlement process.
Process driven and with an analytical mind, you will be accountable, resilient, personable, friendly and appreciate that customer care is everything as we build strong relationships with our clients.
Your days will be diverse, challenging and rewarding as you work as part of a fast paced, high performing team. Exceptional customer service and relationship management skills along with an ability to own and drive the team forward coupled with a positive and can-do attitude will see you succeed in this role. Key Responsibilities
- Manage day-to-day administrative responsibilities to support the agent and team
- Manage administration, preparation, and co-ordination of all properties listed for sale throughout the entire process including clients, suppliers, and vendor management
- Attend and manage out of office appointments including but not limited to photoshoots, building and pest inspections, pre-settlement inspections
- Prepare the Agent for listing and appraisal presentations
- Organise and prepare the Sales Agent for open houses & auctions
- Manage the exchange to settlement period between vendor, buyers & solicitors including submitting invoices
- Invoicing and accounts managements
- Assisting with phone and email queries when required
- Adhoc duties as requested by the Agent and Team
The Person
- Administrative and organisation skills with an ability to multiple-task, work under pressure and meet deadlines
- Process orientated with an ability to connect positively, providing a warm experience to all encounters -Flawless communication and customer service skills with a “the customer is always right” mentality
- Excellent written and verbal acumen with strong attention to detail
- Resourcefulness; making the impossible possible
- Strong emotional intelligence with a positive and bright attitude
- A team player who enjoys building credible trusted relationships
- Proactive self-starter with an accountability to work independently and collaboratively to support the team
- Sound judgement in critical moments
- Collaborative and forward-thinking mindset
- Adaptable and resilient with the ability to use your initiative
- Proficient in Microsoft Office and database management
- A current Real Estate Certificate and a clean driver’s license, access to a car is essential
- Previous Personal Assistant experience is preferred
- Full working right in Australia
